ACADEMIC POLICIES & PROCEDURES
General Policies
Facilities Usage
School Vehicles
Faculty and staff may use school vehicles for work-related trips. Vehicles are reserved through the Physical Plant Office (343-7818). Generally, vehicles are assigned on a first-call basis. However, it may be necessary for the Physical Plant Office to prioritize vehicle use based upon length of trip and cost to the institution. Faculty and staff using school vehicles are expected to comply with certain rules designed for the optimum use of the vehicles. Additional information about procedures and about availability of school vehicles should be obtained through the Physical Plant.
Meeting Rooms and Food Service
University employees may reserve rooms for meetings or entertainment purposes. Generally, meeting rooms are reserved on a first-come, first-serve basis. However, reservations should be made well in advance because the meeting rooms are heavily used both by university and community groups.
All food served must be arranged through the university’s Food Service Division. If food is served for a function, there is no room rental fee.
University employees who use meeting space for university functions where food is not served will not be charged a room rental fee, but are responsible for all set-up, take-down and clean-up prior to and following the function.
The Will Rogers Auditorium
The Will Rogers Auditorium may be reserved for university activities. Requests for use must be submitted in writing to the Administrative Services Manager. No fee is charged for university activities. The Will Rogers Auditorium is widely used for community activities, and it is advisable to make arrangements well in advance of the planned activity. A technician is provided for all events involving sound and lights. Total seating capacity is 580, consisting of 405 first floor seats and 175 balcony seats.
In reference to the facilities discussed above, preference should be granted to university-sponsored student functions.
